Overview

The Impact on Urban Health (IoUH) Business Manager is there to provide administrative and project support to enable the Impact on Urban Health Directors team to focus on progressing the work of IoUH and leading the wider IoUH team. The Business Manager is part of the centralised Administration and Facilities team and is also embedded in the IoUH team in order to fully understand priorities, goals and ambitions and support the Directors team in achieving them. The Business Manager’s work is set and directed from within IoUH. The Directors team is comprised of the Executive Director, Director of Innovation, Director of Policy, Influencing & Change, Director of Programmes, Director of Communications and Director of Participation & Place.

Key Responsibilities

General 
  • Build an understanding of the Impact on Urban Health Directors priorities in order to help support the business area’s work
  • Project and administration support for priority cross-IoUH projects
  • Liaise with the wider Impact on Urban Health team and other stakeholders on behalf of the Executive Director to enable projects and tasks to progress
  • Agenda planning and setting for IoUH Directors Team and full team meetings, in partnership with the Executive Director
  • Support with the design and organisation of IoUH Directors Team processes (frequency and format of meeting, information sharing etc.)
  • Note taking and action monitoring of the above meetings, following up on completion of tasks when required
  • Keep track of the Foundation’s planning points and other Foundation-wide activity in order to manage Directors’ time (in conjunction with the IoUH Diary Managers).
  • Supporting management of the flow of information to other senior staff within the Foundation
  • Proactively identify and deliver improvements to team processes and share these learnings with other business areas
  • Ad hoc desk research as required, collating information and giving recommendations based on the information gathered
  • Line management of the IoUH Diary Managers including coaching and development, motivation and end of year and mid-year reviews
  • Diary management for the IoUH Directors team when the IoUH Diary Managers are unavailable
  • Provide administrative support for the Executive Director, such as creating and formatting documents / slides, updating the CRM system, processing expenses, making travel arrangements and other tasks as required
Committee support
  • Executive Investment Committee (our decision-making body for larger funded projects), Impact on Urban Health Committee and pipeline meetings
  • Supporting the Executive Director with the organisation of committees and advising on how they are run (including organising the ‘wash-up’ learning process for EIC)
  • Administration of the schedules and agendas of meetings, ensuring papers are delivered on time to the relevant distribution groups
  • Coordination of the EIC meeting process and supporting with stakeholder management of project leads, committee members and wider Foundation staff involved
  • Minute taking, note-taking and technical support
  • Formatting and proofing papers and publishing them using the Convene system or other systems where necessary
  • Be the main point of contact for Committee members around logistical and technical issues, gathering annual return information (e.g. conflict of interest information) and coordinating the induction of new Committee members
Proactive time management support
  • Work with Diary Managers to monitor and manage the Executive Director’s priorities by anticipating upcoming commitments, scheduling preparation time, and flagging any potential conflicts to ensure seamless daily operations

  • Ability to plan ahead, anticipating issues before they arise
